POSITION DESCRIPTION:
This position is involved in all stages of a client relationship including: Sales, coordination of customer resources from internal resources, Help Desk Support, Project Management, Monitoring, Maintenance, and Ongoing Business Development. This position requires a trustworthy, self motivated person with good communication and organization skills, a positive can-do attitude, a desire to help others and proven experience providing great customer service. This position also requires the initiative to identify opportunities to provide bok services to prospective and current clients. The nature of this position requires continuous learning to stay abreast of current trends and technologies.
RESPONSIBILITIES & REQUIREMENTS:
Coordinator Responsibilities: 45%
- Responsible for scheduling and coordinating customer engineering appointments and necessary meetings
- Creating, editing, testing and proofing estimates and reports before completion to ensure accuracy of budget for services & products requested
- Proactive, responsive and appropriate weekly communication with clients and staff
- Responsible for coordinating, maintaining and proactively managing deadlines for clients, staff, and internal engineering department
- Vendor communication and relationship management in preparation of proposals and support contracts
- Organizing and maintaining client files
- Assist in developing protocols that ensure the accuracy, efficiency of the business and its clients
- Assist in creation of bytes of knowledge marketing materials
- Provide Misc. Office Support
- Manage project development from beginning to end.
- Define project scope, goals and deliverables
- Develop full-scale project plans and associated communications documents.
- Effectively communicate project expectations to team members and customers in a timely and clear fashion.
- Liaise with customers on an ongoing basis.
- Estimate the resources and participants needed to achieve project goals.
- Set and continually manage project expectations with team members and customers.
- Delegate tasks and responsibilities to appropriate personnel.
- Identify and resolve issues and conflicts within the project team.
- Plan and schedule project timelines and milestones using appropriate tools.
- Track project milestones and deliverables.
- Develop and deliver progress reports, proposals, requirements documentation, and presentations.
- Proactively manage changes in project scope, identify potential crises, and devise contingency plans.
- Define project success criteria and disseminate them to involved parties throughout project life cycle.
- Coach, mentor, motivate and supervise project team members and contractors, and influence them to take positive action and accountability for their assigned work.
- Build, develop, and grow any business relationships vital to the success of the project.
- Conduct project post mortems and create a recommendations report in order to identify successful and unsuccessful project elements.
- Develop best practices and tools for project execution and management.
- Review customer configuration information and prepare regular recommendations on recommended upgrades and replacements.
- Ability to provide front line help desk assistance in basic troubleshooting support for workstations, network environments, TCP/IP, DNS, ping, NSLookup, internet connectivity and email / browser applications via the phone
- Assist and educate clients with technical or procedural questions
- Log communications with prospects and clients
- Ability to utilize and manage monitoring software
- Initiate, manage and troubleshoot DNS registrations and associated issues
- Skilled in group training on multiple programs and network transitions for clients
- Must be high-end user in several applications including all Microsoft Office applications
- Entering project time for self, other bok staff and other vendors
- Invoice review, creation and client questions
- Billing creation and review
- Setting up new jobs and communicating with accounting
- Reviewing time reports with clients, engineering department & sales to determine ROI
- Vendor billing review and approval
- Identify client needs and bok opportunities to provide additional services to our clients
- Assist in sales cycle with prospects
- Contact Vendors for estimates for client jobs
- Create, proof and verify accuracy of estimates
- Excellent communication skills
- Willingness to work in a team environment and on individual projects and tasks
- Proactive in communication when dealing with clients and internal staff
